VAULT
The Vault Module began years ago as a tape tracking system and has evolved into a media library for the growing array of asset formats that today's businesses must manage.  Create a variety of numbering formats, track whereabouts and history, and print labels w/ barcodes.  The vault is scalable to meet needs ranging from small video libraries to large corporate structures with multiple projects and departments.

LOGGING
The Logging Module is a by-product of working with 250 reality show productions and streamlining a concept for cataloguing and searching footage in a fast, systematic and comprehensive style.  PilotWare allows  users to customize logging topics  and associate descriptive keyword lists, which  refines the logging and search process.  Transcripts can be generated in the system, or imported from text files and made searchable.

STORY
The Story Module uses Bins to organize and save ideas, pitches, scenes, segments, episodes or custom searches.  Search for and attach logs that support a Bins' topic or theme.  Write 2-column scripts for a Bin, or export the data to text files for use in word processing programs.  Export Bins to editing systems as a dig list for the associated logs.

USER-SPECIFIED TAPE NUMBERING
Three types of number formatting cover virtually any numbering situation.  Variants allow tracking of multiple tape formats - Field Tapes, Acquired Footage, Interviews, B-Roll--and each format can have a unique numbering system.  Production companies, can use similar variants to track and differentiate between multiple shows or projects.  A secondary tape number can also be tracked for instances when tapes have been previously numbered in a different format.

    • Build Format
      Build a numbering format with a custom code. Choose how many digits are in the number and what they represent.
    • Serial Format
      Choose a starting number and system will number each new tape incrementally.  For example, you may have a series starting with code "FT".  These are field tapes and are tracked numerically from FT001 and up.
    • Manual Entry
      If a tape is already numbered with a unique format, simply type the number into the system. This is ideal for preprinted bar code labels, or acquired footage with a vendor's tape number that needs to be tracked.

LABEL MAKER
Labeling is a popular feature of the Tape Vault.  Your tape library will have an impressive appearance once your labeling is standardized.  Logos and bar codes can be printed on the labels, as well as a broad range of information from fields in the system.  Select from a variety of formats for VHS, Beta, CD/DVD and DV.

The Label Module includes multiple formats for Beta, VHS and several sizes of DV Cam tapes.  Print with point-and-click simplicity.  Tape info is already logged into the system so there is no typing necessary.

Track detailed information about a tape or clip.  Customize pull-down menus with keywords for a systematic and precise logging style; frequently entered data can be selected rather than typed repeatedly.  PilotWare can reduce your dubbing costs by capturing time code from Channel 2 of a standard VHS tape, eliminating the need to log from more expensive tape formats.

Your category definitions will appear on the logging screen as convenient pop-up menus. The benefit is a standardized description that enables story editors to enhance their searches.

TRANSCRIPTIONS
Tapes can be transcribed directly into the database, or imported from a text or Word file.  Once in the system, transcripts can be accessed across your computer network and are completely searchable.  Story editors don't have to scour pages of text to find a key phrase.  However, transcripts can also be printed in a clean and concise format.

Outsourcing your transcriptions?  Import your text files of transcribed tapes, then search, review and work with the transcription files.

FIND SCREENS
All data entry fields in the system are searchable in a related find screen.  Search by a single field, multiple fields, ranges or omit field entries from a search.  PilotWare's use of keyword pop-up menus eliminates synonym search errors and typo search errors.  A funny clip will never be logged as humorous, satirical or funy [sic]. which results in more effective searches.

 

    • Search by keyword, field descriptions, logger, tape number, cast member etc.
    • Combine search requests for more detailed results
    • An "Omit" feature lets you eliminate definitions from a search
    • Save search results as a bin for future reference without having to repeat the search

STORY MODULE
Story editors can create Bins to store clips as they develop story ideas.  Clips can be placed in multiple Bins and ultimately used by writers and editors to build a show.  The tape vault has been designed to create ALE files from the clip information in the Bins, which can then be exported to AVID or Final Cut Pro.
